Organize

Using Folders
  • Create a folder for each category of document and then make subfolders for each aspect of that category
  • Color code folders

Shared 
  • Add shared items to your drive
  • Make sure to add the file to the appropriate folder
  • Add a star (favorite the file)
  • Add to multiple folders (see how)
Important Items
  • Use the star 

Share

1. Click on the file or folder that you would like to share.
2. Select "share"
3. Choose method of sharing
     a. Get shareable link
     b. Enter names or email addresses
     c. Advanced - add collaborators
4. Carefully choose the visibility level and/or access level

Visibility Level​
  • Private/Off: for you and you alone or those you choose
  • Invite Only: just for specific individuals you have invited
  • Anyone With the Link: shared by unique URL link, no sign on needed
  • Public: shared with the world on the web
  • *Anyone at USD 418 with the link: anyone within distict who has the link can access
  • *USD 418: anyone within district can find and access
Access Level
  • View: read-only (cannot make changes or delete the file)
  • Comment: view files/folders and can comment (can download or make a copy, cannot edit or delete the file)
  • Editor: edit rights (can invite other collaborators, download/copy file, and add/remove items in folder)

Copy

Keep copies of excellent Google files
1. File - Make a copy
2. Rename as desired
3. Choose desired folder destination
4. Click if you would like to share with same persons (as file is shared)
5. Click "ok"

Offline Access

1. Use Google Chrome...you must, in order to use Google Drive offline
2. Go to drive.google.com
3. Click on the settings icon and settings
​4. In the "offline" area, check the box for "sync Google Docs, Sheets, Slides and Drawings files to this computer so you can edit offline"
5. Click done
